Registration overview

Conference registration is the first of SmartChair's two core services: organizers define who can register, when, and at what price; each participant completes one registration.

What organizers define

  • Registration types — a free list such as “General, Student”. Each type can carry its own fee later. Conferences with membership support get a second, parallel list of member types.
  • Period — a registration start day, a registration deadline, and optionally an early-bird deadline that switches pricing automatically.
  • Options — invitation letters, mailing address (full or simple one-line mode), gender selection, and a participant limit (-1 means no limit).
  • Public participant list — optionally show registered names and affiliations on a public page.
  • Registration statuses — “Registered” and “Not registered” always exist; organizers may add custom statuses (a custom status counts as registered) and change a participant's status from the Participants page.

What a participant experiences

Registration is a single page: basic information plus the conference's own registration form. The participant can save a draft or submit the registration; after submitting, a confirmation step offers three paths — confirm, cancel with a reason, or send the organizers a modification request. Once registered, the portal shows buttons for paying the fee online or submitting bank-transfer proof.

Type locks with payment

A participant's registration type cannot change after the fee is paid — the type determines the fee, so changing it afterwards would break the payment record.
