Core functions

Function Description
User management SmartChair supports a rich set of roles, including participants, conference chairs, chair delegates, program committee members, local organizers, paper editors, and reviewers.
Payment Supports WeChat Pay and Alipay, online payment for almost all domestic banks, and payment and settlement by international credit cards.
Conference website setup SmartChair provides rapid conference website creation, with multiple templates and customization options. It also supports large-file upload and sharing.
Form management Registration forms, paper submission forms, review forms, check-in forms, and survey forms can all be customized freely.
Program scheduling SmartChair provides convenient conference schedule management. The program can be organized as an overall schedule, detailed schedule, paper presentation schedule, and mini-symposium schedule. The system also generates polished PDF schedule documents for distribution during the conference.
E-mail sending Through the mail center, you can quickly generate messages from templates and send bulk e-mails to selected user groups.
Document creation The document center is built on an online LaTeX workflow and supports fast PDF generation for items such as badges, abstract lists, review summaries, and conference schedules.
Check-in management Provides convenient participant check-in management and can record the attendee information needed at check-in time.
Survey forms Provides freely customizable survey functions and displays survey results in intuitive charts and statistics.
Excel export Participant lists, paper lists, check-in results, and survey results can all be exported as Excel files.
Hotel room booking Room availability can be checked in real time and rooms can be booked online. (Available since April 2025)

 

Paper review related functions

Function Description
Customizable submission forms Paper submission forms can be customized freely. File format requirements and file-size limits can also be defined.
File upload Supports large paper files and supplementary files. The system supports individual file uploads up to 1 GB.
Program committee roles Provides a clear separation of roles for program committee chair, program committee members, editors, and reviewers.
Paper review workflow Provides a rigorous paper review workflow. The dedicated review assignment mechanism (paper) handles conflicts of interest and supports automatic matching between papers and reviewers. Submitted papers can be revised and reviewed multiple times, and each version is retained for comparison.
Custom review criteria Review forms can be customized freely. Review sheets can also be downloaded as Excel files for offline completion.
Mini-symposium support Participants can submit mini-symposium proposals, which are approved by the program committee. After approval, other participants can apply to join and submit papers to the mini-symposium.
Independent stream support For large conferences, SmartChair supports independent streams with their own program committees, submission flow, and review workflow. (Available since 2021)

 

Infrastructure and customer support

High-performance servers The system runs on Google Cloud infrastructure and is stable and highly reliable.
Data backup and recovery Conference data is backed up automatically every day and can be exported in multiple formats for safety and reliability.
Demo environment Before using SmartChair in production, organizers can log in to a demo site and experience the major services in advance.
Consulting and technical support SmartChair provides paid consulting and technical support. If you encounter any issue while using the system, you can contact us by e-mail, WeChat, or phone, and we will help as quickly as possible.
